A LITTLE CLARITY BEFORE YOU CAMP

Privacy & cookies

How we look after the information you share with us, and the choices you can make.

Who is responsible

The Healing Weekend is responsible for deciding how personal information is used for this camping website, bookings and our mailing lists. You can contact us about privacy or any of the rights below:

The Healing WeekendMerry Ln, East Huntspill, Highbridge, TA9 3PSinfo@thehealingweekendcamping.com01278 783655

Information we use

For camping bookings, we collect your name, email address, telephone number, arrival and departure dates, accommodation and electric hook-up choices, numbers of adults and children, and any note you add. We keep the booking reference, payment and refund references, amount and status, and relevant correspondence.

Stripe collects payment and billing information on its payment page. We do not receive or store your full card number or card security code.

Mailing lists contain an email address, a name where supplied, the source of permission and subscription status. Contacts may be added directly or imported by an organiser from a list of people who agreed to receive our updates. Ask us if you want to know where your details came from.

Our services also process technical information needed to operate and secure the website, such as request information and security logs. Optional analytics and newsletter measurement are explained separately below.

Please keep booking notes relevant and avoid sending unnecessary medical or other sensitive information. If you need an access arrangement, contact us to discuss the practical help required without sharing more detail than needed.

Why we use it

  • Booking and payment: to price and manage your stay, take payment, send service messages and handle cancellations. We use information needed to enter into and fulfil our contract with you.
  • Accounts and legal duties: to keep records required by tax, accounting and other applicable law, on the basis of those legal obligations.
  • Enquiries, security and disputes: our legitimate interests are answering questions, running a secure service, preventing misuse and resolving problems. We consider your rights when using information this way.
  • Newsletters and optional analytics: consent, where you choose to receive marketing or accept optional analytics. You can withdraw these choices as explained below.
  • Opt-out records: our legitimate interest in respecting your wishes and our legal duties to honour marketing objections.

The contact and stay details marked as required on the booking form are needed to arrange your booking. Without them, we cannot complete it. Optional notes, marketing and analytics are not required to book.

We do not use your information for decisions based solely on automated processing that have legal or similarly significant effects. The booking system applies the published dates, prices, availability and cancellation rules; contact us if you need a decision checked.

Who receives information

Authorised organisers use booking and contact details to run the campsite. Service providers receive the information needed for their role: Stripe for payments and refunds; Resend or our configured SMTP provider for email; Railway for hosting; and Supabase for storage services where used. Google receives analytics data only when analytics is configured and you have accepted it.

Payment providers may also use information for their own fraud prevention and legal duties. See Stripe’s privacy notice, Resend’s privacy notice and Google’s privacy notice for their own processing.

We may share relevant records with professional advisers or authorities when necessary to meet a legal duty or deal with a claim. We do not sell your personal information.

Some providers or their support services may process information outside the UK. The countries and transfer arrangements depend on the services in use. Contact us for the current destinations, applicable safeguards and how to obtain a copy of the relevant transfer information.

Newsletters & email measurement

A camping booking does not automatically subscribe you to newsletters. Every newsletter has an unsubscribe link. You can also email us to stop marketing at any time. We retain a minimal suppression record so a later contact import does not subscribe you again. Essential messages about an existing booking continue.

Resend provides delivery events, such as acceptance by a receiving mail server, delays, bounces and complaints. These help us understand delivery and avoid repeatedly mailing addresses that cannot receive messages.

Some newsletters use a small tracking image, disclosed in the email, to estimate opens. An opaque link connects image requests to that newsletter delivery. We record the first and latest request time and a count; our newsletter tracking does not store IP addresses or device details. Email apps may block, preload or cache images, so an open is an estimate and does not prove a message was read.

Website cookie choices do not give permission for newsletter tracking. Newsletter permissions are separate. Contact us if you do not want tracked newsletters, or unsubscribe using the link in any newsletter. Blocking remote images in your email app can also prevent an image request.

Cookies & your choices

Essential cookies keep necessary features working. Optional Google Analytics is off until you accept analytics. It measures visits to public information pages; it is not used on booking forms, payment confirmations, private booking links or the admin panel. We do not enable advertising cookies or advertising personalisation.

The first-visit popup offers a choice to accept or reject optional analytics. We remember either choice for six months in this browser. You can reopen Cookie preferences from the footer and change your mind at any time. Removing cookies, using a different browser or device, or a change to our analytics configuration may prompt you again. You can use the site and book without accepting analytics.

Stripe’s own payment page may use cookies or similar technologies for payment security and fraud prevention. These are managed by Stripe on its service. Our fonts are self-hosted.

How long we keep information

We keep booking, payment and correspondence records for as long as needed to provide the stay, manage refunds and complaints, meet accounting and legal duties, and deal with possible claims. The purpose, applicable legal period and any unresolved issue determine the retention period.

Mailing details are kept while you remain subscribed, with delivery and measurement records retained only while needed to manage and assess communications. After an opt-out, we keep the minimum record needed to respect it. Security logs and unnecessary notes are kept only for their operational purpose. Contact us for the period applying to a particular record.

We restrict access to people who need it, use protected owner accounts and use service providers to store and process records. Keep your personal booking link private because it gives access to your booking.

Your information rights

Depending on the circumstances, you can ask for a copy of your information, correction, deletion, restriction of use or a portable copy. You can withdraw consent at any time without affecting earlier lawful use. Some requests have exceptions, for example where we must retain accounting records.

You have the right to object to direct marketing at any time. You can also object to processing based on legitimate interests for reasons relating to your situation.

Email info@thehealingweekendcamping.com to exercise a right or ask a question. We may need to verify your identity before releasing or changing records.

You can complain to the UK Information Commissioner’s Office if you are unhappy with how we handle information. Visit the ICO’s complaints page or call 0303 123 1113. You can contact us first so we can try to resolve your concern, but you do not have to do so before contacting the ICO.

Changes to this notice

We will update this page if the way we use information changes. The date at the top shows the latest revision. Where a change requires a fresh choice, we will ask before using optional services for the new purpose.
